1. About This Policy
This Privacy Policy (“Policy”) is published and maintained by DIGI EBOOK SOLUTIONS PRIVATE LIMITED (“Company” / “We” / “Us” / “Our”), a company incorporated under the Companies Act, 2013, which owns and operates the DigiNotes mobile application and its related services (“App” / “Platform”).
This Policy governs the collection, receipt, possession, storage, dealing, handling, sharing, use, and processing of Personal Data provided by or collected from Users of the Platform, whether accessed through a web browser, mobile application or any other interface.
By accessing or using the Platform, registering for an account, subscribing to any service, or otherwise interacting with the Platform, you acknowledge that you have read, understood, and agreed to be bound by the terms of this Policy. If you do not agree to this Policy, you must immediately discontinue use of the Platform. Where we need your consent to collect or use your data, we will ask for it in the App, and you can withdraw it at any time as described in Section 7. No paid feature is conditional on your agreeing to the collection or use of data that is not necessary for that feature.
2. Information We Collect
We may collect the following types of information:
- Information you provide directly, such as your name, email address, username and password when you create an account, and any details you submit when contacting us.
- Usage information such as the screens you view, features you use, and how you interact with the Platform.
- Subscription plan selected, billing information, address and transaction identifiers. Payment card data is not stored by us; it is processed exclusively through PCI-DSS compliant third-party payment gateways.
- Technical information such as your IP address collected automatically when you access the Platform.
- Communications you send us, including queries, feedback and grievances.
- User Content: the notes, text, attachments and other content you create, import or store in the App, and the transcripts and other results generated by the App’s features, such as mind maps, timelines and AI chats. This content is stored on your device.
- Documents from connected services: if you connect a document management or cloud storage service such as Microsoft SharePoint or OneDrive, we access the documents, files and related details that you authorise through that service in order to provide the integration.
- Audio notes: if you use the audio note feature, your voice is captured through your device microphone only after you grant permission and sent to a third-party speech-to-text service to be converted into text, after which the audio is deleted. We do not store your voice or audio recordings. We keep only the resulting text transcript as part of your User Content.
- Research, AI and case tracking inputs: the queries, selected text and messages you submit to the App’s research and AI features, and the case details you enter for case tracking, which may include contact details of other persons.
- Purchase and subscription information: where you buy a subscription or in-app purchase through the Apple App Store, payment is processed by Apple. We do not receive your payment card details; we receive only information such as the product purchased and subscription status.
- Sign-in information: when you sign in, a sign-in token is stored securely on your device to keep you signed in, and is sent with your requests to our services.
How we collect information: directly from you when you create an account, enter or import content, use audio, research, AI or case tracking features, make a purchase or contact us; automatically through your use of the App, including through your device and the software development kits (“SDKs”) integrated in the App; and from third-party services you choose to connect and from Apple, for example purchase confirmation.
3. How We Use Your Information
We use the information we collect to:
- Operate and improve the Platform and its content;
- Create and manage your account and deliver services you have subscribed to;
- Send you newsletters, legal updates and other communications related to the Platform services;
- Respond to your queries and grievances;
- Ensure the security and integrity of the Platform;
- Comply with applicable legal obligations;
- Provide the document integration, audio transcription, research, AI and case tracking features you choose to use; and
- Process purchases and subscriptions and verify your entitlement to paid features.
We use your personal data only for the purposes described in this Policy and will not use it for a materially different purpose without first obtaining your consent, unless permitted by law.
4. Cookies and Tracking
The App does not currently use cookies or similar technologies for advertising, analytics or tracking, and does not currently track you across apps and websites owned by other companies. Content from third-party websites, such as news, may be displayed in an in-app browser and is governed by that site’s own privacy policy and cookie practices.
5. Sharing of Information
We do not sell your personal information to third parties. We may share your information in the following circumstances:
- With trusted service providers who assist us in operating the Platform, such as hosting, payment processing, affiliates and AI providers, under appropriate confidentiality obligations;
- When required by law, court order, or a lawful request from a government or regulatory authority; and
- In connection with a merger, acquisition, or restructuring of our business.
Every third party with whom we share your personal data, including cloud, AI and other service providers and any parent, subsidiary or other related entity that has access to it, is required to provide the same or an equal level of protection for your data as is set out in this Policy and as required by applicable law and the policies of the platforms through which the App is distributed.
Features that use third parties: Some features work by sending data from your device to our own services or to third-party service providers, and only when you use the feature. For example, audio and document text may be sent to third-party AI service providers for transcription and for generating summaries, mind maps and timelines; search queries, selected text and chat messages may be sent to our research and AI services; and case numbers, order documents and contact details you enter may be sent to our case tracking services. These providers also handle data under their own terms and privacy policies.
6. Data Retention
We retain your information for as long as necessary to provide our services and fulfil the purposes described in this Policy, or as required by applicable law. When your information is no longer needed, we take reasonable steps to securely delete or anonymise it.
In particular, your notes and other content stored on your device remain there until you delete them or uninstall the App, and temporary audio is deleted once transcription is complete. We keep your account information until your account is deleted. When you delete your account or ask us to delete your data, we delete or anonymise your personal data within a reasonable period, except where we are required by law to keep it. We do not store voice or audio recordings (see Section 2).
7. Your Rights
Subject to applicable law, you may have the right to access, correct, or request deletion of your personal information. You may also withdraw your consent for communications such as newsletters at any time by using the unsubscribe link in our emails or by writing to us. To exercise any of these rights, please contact us at privacy@india.lawchronicle.com.
Deleting your account:
You can request deletion of your account and the personal data associated with it by writing to us at the email address above, and we will process your request within a reasonable period. You can delete your notes and other content in the App at any time.
Withdrawing consent:
You can withdraw any consent you have given by changing the relevant permission or toggle in the App’s settings or in your device’s Settings, by using the unsubscribe link in our emails, or by writing to us at the email address above. Withdrawal does not affect processing carried out before it and may make features that depend on that data unavailable.
8. Data Security
We take reasonable technical and organisational measures to protect your information from unauthorised access, loss, or misuse. However, no method of transmission over the internet is entirely secure and we cannot guarantee absolute security.
The Platform is not directed at children under the age of 13, or such other age as applicable local law may require. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can delete it.
9. Third-Party Links
The Platform may contain links to external websites, court portals, or other legal resources operated by third parties. We are not responsible for the privacy practices of those websites and encourage you to review their privacy policies before sharing any information with them.
10. Grievance Officer
If you have any concerns or complaints about how we handle your personal information, you may contact our Grievance Officer at:
- Name
- DIGI EBOOK SOLUTIONS PRIVATE LIMITED
- Designation
- Grievance Officer
- Address
- New Delhi, India
We will acknowledge your complaint promptly and endeavour to resolve it within 30 days.
11. Changes to This Policy
We may update this Policy from time to time. When we make material changes, we will notify you by posting the updated Policy on the Platform and in the App with a revised effective date. Your continued use of the Platform after such changes constitutes your acceptance of the updated Policy.
12. Governing Law
This Policy is governed by the laws of India. Any disputes arising in connection with this Policy shall be subject to the jurisdiction of the courts at New Delhi, India.
13. Device Permissions
The App requests access to device features, such as the microphone for audio notes, only when you use a feature that needs them, and only after you grant permission through your device’s permission prompt. Permissions are optional: if you decline, the App will continue to work, except for the specific feature that depends on that permission. You can change permissions at any time in your device’s Settings. We collect only the data needed for the feature concerned.
